Entities

An Entity in Heedify is the top-level organizational unit owning agents, queues, flows, groups, analytics and permissions, with four role types (Owner, Admin, Supervisor, Reports Viewer) gated by Microsoft 365 sign-in. Every queue, agent, flow, group and analytics profile belongs to exactly one Entity.

Creating an entity

  1. Open Entities from the sidebar.
  2. Click + Add New Entity.
  3. Fill in the Entity name (3 characters minimum). Spaces are stripped automatically as you type.
  4. The user creating the entity is added with the Owner role automatically. Add other users from the Add user button — pick a role from the dropdown for each (Owner, Admin, Supervisor, Reports Viewer).
  5. Click Save.

Fields

Field Description
Entity name Unique identifier of the entity (3 characters minimum). Spaces are stripped on input. Cannot be changed after creation.
Administrators Microsoft 365 users with admin access on this entity. Each one has an assigned role.
Role Role assigned to each administrator (Owner, Admin, Supervisor, Reports Viewer).

The entity name cannot be changed after creation. The name input is locked in edit mode.

Roles

Role What they can do Who they can add
Owner Full control of the entity, including deletion and transfer of ownership. Owner, Admin, Supervisor, Reports Viewer.
Admin Full configuration access on the entity. Admin, Supervisor, Reports Viewer (cannot add an Owner).
Supervisor Read access and live supervision in the realtime dashboard. Supervisor only.
Reports Viewer Read-only access to the entity’s analytics and reports. No configuration or live supervision. Cannot add users.

The Add-user dropdown only proposes the roles the current user is allowed to assign — for example, a Supervisor opening the form only sees Supervisor in the role list.

Editing an entity

  1. In the entity list, click the pencil (edit) icon on the entity’s row.
  2. The form opens with the entity name locked. You can add or remove administrators and change their roles.
  3. Click Save.

The list row also exposes a trash (delete) icon — see below.

A Supervisor cannot edit or delete an Admin or Owner. An Admin cannot edit or delete an Owner. The corresponding row actions are disabled in those cases.

Deleting an entity

  1. In the entity list, click the trash (delete) icon on the entity’s row.
  2. Confirm in the dialog.

Deletion only succeeds if the entity is empty (no agents, queues, flows, groups, etc. still attached to it). Move or delete those resources first. There is no undo.

FAQ

Can I rename a Heedify Entity after creation?

No. The Entity name is the unique identifier of the Entity and the name input is locked once the Entity is saved. The only way to change it is to create a new Entity and migrate resources.

How many Entities can I have in Heedify?

There is no hard limit. Most customers run one Entity per autonomous business unit. Create more only when you need isolated configuration, analytics or supervision boundaries.

Who can delete a Heedify Entity?

Only an Owner of the Entity, and only when the Entity is empty — no agents, queues, flows or groups still attached. Microsoft 365 sign-in is required to evaluate the role.

Can a Supervisor add an Admin or Owner to an Entity?

No. A Supervisor can only add other Supervisors. An Admin can add Admins and Supervisors but not Owners. Only an Owner can add another Owner.
