2. Create your entity

An Entity in Heedify is the top-level organizational unit that owns agents, queues, flows and analytics, with four role types (Owner, Admin, Supervisor, Reports Viewer) gated by Microsoft 365 sign-in. You need at least one Entity before you can configure anything else.

Steps

  1. Open Entities from the sidebar.
  2. Click + Add New Entity.
  3. Enter the Entity name (3 characters minimum). The portal strips spaces automatically as you type — MyEntity and My Entity produce the same name, MyEntity.
  4. The user who creates the first entity is added to it automatically with the Owner role. Add any other administrators from the Add user button if needed.
  5. Click Save.

The entity name is the unique identifier of the entity. It cannot be changed after creation — the name input is locked once the entity exists. Choose a name you can live with long-term.

Tips

  • If your organization has multiple business units, create one entity per unit — configurations stay isolated.
  • The Owner role can never be removed implicitly: only another Owner can change ownership.

FAQ

Can I rename a Heedify Entity after creation?

No. The Entity name is the unique identifier of the Entity and the name input is locked once the Entity is saved. Choose a name you can live with long-term.

Why does the portal remove spaces from the Entity name?

The Entity name is used as a stable identifier across modules. Heedify strips spaces on input so MyEntity and My Entity produce the same identifier, avoiding accidental duplicates.

Who is the first Owner of a new Entity?

The Microsoft 365 user who clicks Save on the entity form is added automatically with the Owner role. You can add other Owners from the same form before saving.

Can a Supervisor create a new Entity?

No. Creating an Entity requires create permission on the Entity module, which is granted by Owner or Admin role on an existing Entity, or by a global Heedify entitlement. Supervisors only have read.
